Discord Bot

Overview
The shinetree bot gives every booking of a session held on Discord its own private voice room in your server. Bookers wait in a Waiting room and are moved in when you join. Your audience can also book you without leaving Discord, with the bot's /book command.
Requirements
- A shinetree account.
- A Discord server where you have the Manage Server permission.
- Your bookers need a Discord account. They give their Discord username when they book.
Adding the Bot
Steps
- Sign in to shinetree and open Settings from the dashboard.
- In the Discord section, select Connect Discord.
- Discord asks which server to add the bot to and shows the permissions it needs. Pick your server and select Authorise.
- You are returned to Settings, which shows your server's name while the bot sets up your rooms.
What the bot sets up

Usage
Setting a session to use Discord
- Open Sessions and create a new session, or edit an existing one.
- Set Where to Discord. A Discord session takes up to 25 people.
- Save the session. The booking form now asks for the booker's Discord username.
What happens on each booking
- The booker's email includes an invite to your server and how to join.
- The private room opens 15 minutes before the start. Only you and that session's bookers can see it.
- Bookers wait in the Waiting room and are moved into the room when you join.
- On Starter, the room gets a 5-minute warning and closes at the booked end time.
- On Pro and Premium, the room can run over: it stays open while someone is still in it, and closes 5 minutes after it empties.
Booking in Discord with /book
- Members type /book, or select Book on the card in #welcome.
- They pick one of your Discord sessions and a time, then enter their name and email.
- Paid sessions show a pay link and a QR code. The booker has 10 minutes to pay, or the time is released.
/help and /setup
- /help works in any server: what shinetree does, and how members book.
- /setup is for people who can manage the server. In a server that isn't connected yet, it lists the steps above with a Connect button. In a connected one, it shows whose page the server books for and whether the welcome card, Waiting room and meeting notes are in place.
- Only the person who types either command sees the answer.
Meeting notes
Turn on Keep each room's chat as notesin Settings to keep what is written in a room. When the room closes, the bot posts the chat as a file, with any files shared in the room in a zip, into a private thread in #meeting-notes that you and the session's bookers can read. The booker's email says the chat is kept. shinetree does not store the notes; they stay in your server.
Who can see the rooms
Moderators can't see the private rooms. Server owners and anyone with the Administrator permission can see every channel, including shinetree's, because Discord gives them that access.
Removing the Bot
Removal steps
- From shinetree: open Settings, find your server in the Discord section and select Disconnect Discord.
- From Discord: remove the shinetree bot from your server. We email you when that happens.
What happens after removal
- The bot closes any open room and leaves your server.
- The shinetree channels and your notes stay in your server. Delete them yourself if you want.
- New bookings of Discord sessions get no room until you connect again. Your sessions and bookings are kept.
Troubleshooting
- Your server isn't in Discord's list. You need the Manage Server permission in it. Ask the server owner, or use a server you own.
- Settings says the bot is missing permissions. Give them to the shinetree role in your server settings, or select Reconnect Discord.
- A booker can't get into their room. Check that the username they gave matches their Discord username and that they joined your server with the invite.
- Settings says shinetree was removed from your server. Select Reconnect Discord to add it back.
